Job summary:

The Facilities Management Administrator is responsible for product ordering, materials shipment, Interoffice mail, product receiving and storage, and FedEx pick-up. They are also responsible for maintaining current vendor relationships and sourcing new vendors to reduce supply costs. They work directly with the Director of Facilities Information Systems to ensure that the center meets all local, state, and federal requirements for shipping/receiving and transportation. The Facilities Management Administrator is the central point of contact for all personnel requiring assistance with supplies and any FedEx related issues. They must be timely, responsive,and effective in assisting and responding to all inquiries. The Facilities Management Administrator serves as both office manager for administrative offices as well as assists in execution of all facilities management related duties.

Job Duties/Responsibilities:

Facilities Responsibilities

  • Assist Regional Facilities Managers in conducting quarterly alarm tests
  • Assist in setting up utility services for new/acquired sites
  • Maintain the CMMS work order system—adding/removing requesters, entering PM’s, entering documents/contacts, mapping equipment and locations.
  • Act as liaison between Facilities and other departments to provide and procure documents
  • Assist in preparation of quarterly reports
  • Maintain stock for 2nd floor vending machine
  • Maintain cleanliness of break room including emptying fridges, cleaning counters/microwaves/sink, and keeping supplies stocked

Purchasing Responsibilities: 

  • Accept or reject purchasing requests in CMMS work order system and place/ship orders accordingly
  • Order De Novo supplies from and maintains relationships with several vendors: McKesson, VieAbility, Henry Schein, Veritiv, EcoLab, Amazon, Medicus, Web2Print, KnoxBox, Uline, BankSupplies, etc
  • Order break room and office supplies for Morgan St. Admin

Shipping and Receiving Responsibilities:

  • Receive all deliveries for lab, clinical, OTP, facilities, etc.
  • Ship out new hire badges
  • Ship out any miscellaneous packages, i.e. telehealth patient kits, laptop chargers
  • Sort and deliver USPS mail
  • Maintain stock room of lab, OTP, and office supplies at Morgan St. - All other duties as assigned
